As a club we rely on a team of dedicated volunteers. We are now doubling down on fundamentals such as, Active club membership (yearly not just during the season), On-Grass fixture & training updates via Spond, RFU Registration, acceptance of Codes of Conduct. This list goes on.
With this in mind and due to the workload to run the Mini & Junior section we have now published an updated structure around Mini & Juniors that will form a new committee, where we need your skills and help. This has been broken down into such smaller roles outside of Team Manager & Coaches (On-Grass) and the aim is to no more input than one hour a week of someone’s time. Volunteers are at the heart of Mini & Juniors and we have these amazing volunteers doing the On-Grass activities week in, week out. The club now needs your help & input for the Off-Grass work. We also feel that there should be one role per age-group, per family, to not let the club take over family life and allow harmony to continue.

Putting the player first is at the core of everything we do and this comes hand in hand with Safeguarding, as such for any roles mentioned there will be a mandatory DBS check that will be needed befoer commencement of any role. The current roles where we need support have (Volunteer Needed) added to the role title.

CHAIRMAN (AGE-GRADE)

Purpose
Lead effective and efficient delivery of mini and junior rugby at the club.
Key aspects of the role
1. Lead the development of mini and junior rugby
Create and lead a team of people to deliver rugby for 6-17 year olds; arrange and chair Mini and Junior Committee meetings and ensure that Mini and Junior members are represented within the Main Committee and CB meetings.
2. Organise suitable playing and training opportunities
Work alongside other club officers to coordinate the running and playing of Mini and junior rugby training, games and tournaments in line with Age Grade Regulations.
3. Ensure all members are familiar with the core values of the game
Make sure players, coaches, volunteers and parents are familiar with the core values of the game

MEDIA CO-ORDINATOR

(VOLUNTEER NEEDED)

Purpose
To promote your club and its interests to members and the wider community, raising the club’s profile and boosting the popularity of the game locally by ensuring good news stories are communicated through the right channels.
Key aspects of the role
1. Lead the PR of the Mini & Juniors
Maximise publicity for the club’s games, events and activities while supporting the main club media manager in their relationships with local and national media – press, web etc.
2. Oversight of communication
Oversee internal channels like the club newsletter, website, social media, welcome packs and notice board. Ensure that the results of every fixture game are communicated in a timely manner, detailed reports of matches are submitted by the relevant Team Manager where necessary.

EVENTS CO-ORDINATOR (X2)

Purpose
To ensure that all events motivate people to attend and/or reward volunteers, are successes in order to ensure the future well-being of the club.
Key aspects of the role
1. Lead the organisation of all events
Plan, organize and lead a team to deliver major events, e.g. Summer Balls, Sportsmen’s Dinners, Tournaments, Tours & Festivals, etc.
2. Work with other officers to set targets
In consultation with other club officers, set targets for each event in terms of increased participation, funds raised, rewarding volunteers or simply having more fun.
3. Maintain a calendar
Put in place a calendar of events to maintain momentum and awareness throughout the club

FUNDRAISING CO-ORDINATOR

Purpose
To plan and organise fundraising activities.
Key aspects of the role
1. Arrange and implement fundraising strategies
Plan and organise fundraising activities for the club from raffles to fundraising events.
2. Liaise with other members and ensure proper recording
If necessary, form a fundraising team. Collect fundraising money and pass it on to the Treasurer; monitor and accurately record the success of fundraising activities.

SECRETARY (AGE-GRADE)

TEAM MANAGER CO-ORDINATOR

(VOLUNTEER NEEDED)

Purpose
As the Team Manager Coordinator at our rugby club, you will be an essential part of our Mini & Junior Section, reporting directly to the Mini & Junior Secretary. Your primary responsibility will be to oversee and support the team managers for our mini and junior teams, ensuring smooth and efficient operations throughout the season.
Key aspects of the role
1. Team Manager Support: Act as the main point of contact for all team managers, providing guidance, resources, and assistance with administrative tasks. This includes helping with team registrations, organizing fixtures, and ensuring compliance with club policies and league regulations.
2. Communication: Facilitate clear and effective communication between the Mini & Junior Secretary, team managers, coaches, parents, and players. This involves disseminating important information, updates, and announcements in a timely manner.

TEAM MANAGER

(VOLUNTEER NEEDED – U10)

Purpose
To represent the team to the Team Manager Co-Ordinator, to keep the team in the loop on team requirements and to pass on knowledge about the game and act as a role model.
Key aspects of the role
1. Organise the dissemination of all match information
Working with the fixtures Co-Ordinator, make sure players, families and supporters know where they are playing and training each week. Work with the Lead Coach to share information before matches with players/parents (as appropriate)
2. Ensure the team kit is properly maintained
Make sure the team has appropriate kit & equipment for matches & training sessions, especially with mouth guards and safety studs; share responsibility for the bibs to be washed between matches and ensure all kit is returned at the end of the season (where applicable)
3. Comply with appropriate player registration
Liaise with Membership, Spond & GMS Co-Ordinator(s) to make sure all players are registered before the first match; fill in team sheets and other relevant forms before matches (Junior teams).

COACH CO-ORDINATOR (X2)

Purpose
As the Coach Coordinator at our rugby club, you will be an essential part of our Mini & Junior Section, reporting directly to the Mini & Junior Secretary. Your primary responsibility will be to oversee and support the coaches for our mini and junior teams, ensuring smooth and efficient operations throughout the season.

1. Coordination of fixtures

GAME MANAGEMENT CO-ORDINATOR (GMS)

Purpose
As the main contact at the Mini & Juniors for the Game Management System (GMS), you’ll help to establish the needs of users of GMS within your club; ensure the system is being used appropriately and that information is kept updated, to help contribute to the efficient running of your club.
Key aspects of the role
1. Compliance with RFU for all active players to make sure they have registered and are affiliated with Fylde RFC within 45 days of play within current season.
2. Create reports and communicate with parents who are outside of RFU compliance to allow them to be correctly registered and affiliated to Fylde RFC.

Purpose
To help the club prosper through sustaining and growing the membership by actively encouraging new members to join and taking responsibility for managing existing club mini & juniors memberships.
Key aspects of the role
1. Support the drive for new mini & junior membership Take the lead on ensuring new members sign up as paying members, and make sure the process for sign up is concise and simple.
2. Manage and preserve current membership Manage everything to do with memberships, including types, subscriptions, renewals and incomes, ensuring that membership fees are paid and relevant records are kept.
3. Take responsibility for record keeping Keep the membership database and the Game Management System up-todate and ensure that all relevant financial documentation for membership is stored securely.

SAFEGUARDING OFFICER

Safeguarding is a term used to describe measures that help keep children and adults at risk, free from abuse or harm in the game. Safeguarding in Rugby is everyone’s responsibility. Whilst safeguarding in rugby is everyone’s responsibility, the Club Safeguarding Officer (CSO) is responsible for championing safeguarding at Fylde RFC. The CSO is responsible for championing the safety and welfare of all children and adults at risk at their club. Every person at Fylde RFC has the responsibility to adhere to their safeguarding duties, as per the Rugby Football Union (RFU) Safeguarding Children Policy and Regulation 21. 

Accountabilities:
The CSO is accountable for:
• Being the first point of contact for safeguarding concerns relating to children and adults at risk
• Encouraging an environment where the voice of the child or adult at risk is central to influencing club policy and procedure, and that their feedback is actively sought out and acted upon where possible
• Ensuring that all safeguarding concerns are reported appropriately to the Constituent Body Safeguarding Manager (CBSM), the RFU Safeguarding team and/or the appropriate statutory agencies in a timely fashion, in line with the appropriate RFU procedures
• Ensuring that everyone at the club is aware of the appropriate reporting structures regarding safeguarding concerns and championing an environment where this is common knowledge
• Leading on the annual club safeguarding audit, with support from the Club Committee, its Chair and all its volunteers and staff as and where appropriate
• Working in partnership with the volunteer coordinator, or club equivalent, to ensure safer recruitment procedures are followed, in line with the RFU Safeguarding Children Policy and Regulation 21. This includes ensuring references are received and vetted (where appropriate), and advising the club on which appointments require appropriate Disclosure and Barring Service (DBS) checks and that these checks are carried out in the appropriate timeframe and accurate records are kept
• With the support of the committee, ensuring that the club adheres to all its safeguarding responsibilities detailed in the annual Club Safeguarding Audit
• Ensuring the club is proactive in making sure its staff and volunteers who are required to carry out safeguarding training carry it out in the appropriate timeframe, including refresher training
• Supporting all safeguarding concerns or queries volunteers, staff or members have. This includes offering advice and insight into club practice, supporting children and adults at risk in making disclosures and ensuring that the committee is updated on all safeguarding issues
• Ensuring the club’s safeguarding policy is openly accessible to everyone and is kept updated, and ensuring safeguarding information and contacts is readily available on the club website
• Attending club committee meetings as a member of that committee, who is responsible for ensuring safeguarding is a mandatory standing item on the agenda

DEPUTY SAFEGUARDING OFFICER

Purpose
A crucial role in ensuring the safety and well-being of all members, particularly children and vulnerable adults. Reporting to the Safeguarding Officer, your responsibilities will include assisting in the development and implementation of safeguarding policies and procedures, conducting risk assessments, and ensuring compliance with local and national safeguarding regulations. You will act as a point of contact for any safeguarding concerns, providing advice, support, and guidance to club members and staff. Additionally, you will help coordinate training sessions and workshops to educate members on safeguarding best practices. Your proactive approach and excellent communication skills will be vital in maintaining a safe and inclusive environment within the club. The ideal candidate will have a strong background in safeguarding, a passion for promoting welfare, and a commitment to upholding the highest standards of care and protection.

RUGBY SAFE LEAD (X2)

(VOLUNTEERS NEEDED)

Purpose
Player Welfare, and making rugby as safe as possible, is the joint responsibility of all involved in the game. It is important that good practice is embedded across all clubs to support the promotion of a proactive approach to player welfare and safety. Key aspects of the role
1. First Aid / Immediate Care Pitch-side Provision
Review the club risk assessments and RFU’s recommended minimum levels of immediate care (IC) and/or first aid (FA) guidelines to identify what level of first aid/immediate care is needed. Create a plan to ensure that every training session and match is covered by an appropriately qualified First Aider/Immediate Care Practitioner.
2. Training & Equipment
Organise training to ensure all appointed first aiders are trained and up-to-date with an appropriate level of qualification in line with RFU guidelines (e.g. RFU Emergency First aid in Rugby Union course). Manage the stocking and general maintenance of first aid supplies and equipment, making sure the first aid equipment and kits are suitable for the level/amount of activity and those trained to use it.
3. Emergency Action Plan
Along with our key personnel in the club, develop an Emergency Action Plan to ensure there is a clear process in the event of an incident/injury. Develop a process to ensure that these procedures are known and understood amongst appropriate individuals in the club.
4. Reporting
Ensure there is process in place to keep records of player medical conditions, monitor injuries and report incidents/injuries as they happen in line with RFU regulations.
5. RugbySafe
Utilise the RFUs RugbySafe scheme and guidelines (e.g. management of concussion), work with other key personnel (e.g. coach coordinator and safeguarding officer) to support wider best practice and ensure that all club volunteers and parents are aware of how to support player welfare.

DISCIPLINE OFFICER

Purpose
To ensure the club maintains high standards of discipline at all times, both on and off the field and preserve a fine reputation for compliance with the Core Values of the Game.
Key aspects of the role
1. Lead on any disciplinary incidents

Deal with any on or off field disciplinary incidents by a member of the club, arranging and attendance at internal disciplinary hearings and taking responsibility for all investigations, working with the CB and/or RFU.
2. Implement education about the Club Rules
Working closely with the Club Safeguarding Officer to educate members about preventing potential safeguarding incidents and investigating any complaints that have been made. Work with the Mini/Junior Chair to implement Values of the Game education to new players and parents. Ensure that club management and members are kept informed of any changes to disciplinary regulations or procedures.
3. Report to the Club Committee, the CB Disciplinary Secretary and the RFU Discipline Department
Share relevant information and co-operate with the Club Committee, CB Discipline Secretary, CB Safeguarding Manger, RFU Discipline and RFU Safeguarding when required.
